Your rule decides who receives an open shift first, how long they have to respond and who should be contacted next.
Managers set the rule in ShiftFill. Staff receive and claim shifts in Deputy, just as they do today.
Authorise ShiftFill and choose the locations where you want help filling open shifts.
Choose who gets the first offer, how long to wait and which group should be contacted next.
When a published open shift appears, ShiftFill checks the current roster and sends the offer to the first eligible group. Staff review and claim it in Deputy.
If nobody takes the shift before your chosen delay, ShiftFill contacts the next eligible group. It stops when Deputy records the shift as filled, or returns it for manager follow-up after the final group.
ShiftFill organises the workflow into operational views managers can check quickly.

| Who or where | What happens |
|---|---|
| Your managers | Choose the locations, offer order and delay between staff groups, then turn Autopilot on when ready. |
| ShiftFill | Watches for published open shifts, checks who is eligible and contacts each group in the configured order. |
| Your staff | Receive, review and claim the available shift in Deputy. They do not need another app. |
| Deputy | Records the final assignment. Once the shift is filled or closed, ShiftFill stops the follow-up. |
Managers can pause automation and return the gap to manual follow-up when circumstances change.
Set the order once in ShiftFill. When you publish an open shift in Deputy, ShiftFill offers it to the first eligible group, waits for your chosen delay and then tries the next—until Deputy records the fill or a manager takes over.
